Privacy Policy

This policy describes how LoadSignal AI (“LoadSignal,” “we,” “us”), operated by Nick Squared LLC, handles personal information. It covers information about the brokerage staff, drivers, carriers, and customers whose data passes through the product, not just the organization that signs up.

What we collect

Early-access requests

When you request early access, we store the contact and business details you submit. We also record available campaign source, medium, and campaign labels, the public page where you arrived, the page where you submitted, and the referring website's hostname. We use these to understand which pages bring requests. We do not store full referral URLs or private load and tracking paths as signup attribution.

This visit context is held in page memory while you browse the marketing site and is attached when you submit the form. It does not create an attribution cookie or use browser storage. A reload or a later visit can lose the original source. Vercel Analytics also receives a successful-submission event with public page paths and form type, without your form answers or campaign labels.

Account information

When your organization provisions your account, we store your name, email, phone number, and role. Authentication itself is handled by our sign-in provider (Clerk), which manages your login credentials. We don't see or store your password.

Load and shipment data

Load details your organization enters or imports: pickup and delivery stops, appointment windows, commodity and equipment information, reference numbers, and any rate confirmation PDF uploaded for import.

Driver and carrier information

Names, phone numbers, and (for carriers) MC/DOT numbers, entered by your organization to run loads through the product.

When a carrier connects its own Samsara account at a brokerage's invitation, we also store the Samsara account's name and DOT number as Samsara reports them, the names of the carrier's trucks, the email address the invitation was sent to, and an access token from Samsara, which we keep encrypted.

Customer information

Company and contact name, email, and phone number for the customers your organization ships for.

Messages

SMS and email content sent through the product between dispatchers, drivers, and customers, including AI-drafted messages pending a dispatcher's review.

Driver and truck location

LoadSignal can collect the GPS location of a driver or a truck in these ways:

• The driver app, after the driver is shown an explanation and grants their browser's location permission. A driver can stop sharing at any point during the load.
• A one-time text link a dispatcher sends, which a driver opens without an account; it explains what turning on location sharing does and expires automatically.
• A connected ELD/telematics account (Samsara or Motive), when your organization's administrator connects its own fleet. In this path, consent is a matter between your organization and its drivers, not something we collect directly from the driver.
• A carrier's share link, a live-location link from the carrier's ELD provider that the carrier sends to the brokerage. We read the truck's position from that page while the load is active. The carrier decides when the link expires.
• A carrier's own Samsara account, shared with a brokerage. A brokerage using LoadSignal can invite a carrier to connect Samsara. The carrier opens the invitation, which says what the brokerage will and won't see, and approves read-only access in Samsara. The brokerage then sees the names of the carrier's trucks, so it can pick the truck on a load, and that truck's location, speed and heading while it is on one of that brokerage's active loads. We read it about once a minute. We do not read the carrier's other trucks, a truck that is not on that brokerage's load, hours of service, messages, or anything else in Samsara, and we never change anything in the carrier's account. The carrier can disconnect at any time from the invitation page, or remove the LoadSignal app in Samsara, which ends sharing with every brokerage at once. Tracking stops as soon as it is disconnected, and once nothing in LoadSignal still uses the connection we revoke the access token with Samsara and delete it.

Location from a driver's phone, a carrier's share link or a carrier's shared Samsara is collected only while a load is active, from dispatch or acceptance through delivery. A fleet's own connected ELD is the one exception: we also record where its trucks are when they have no active load, so we can check that a driver's phone is in the truck it claims to be in.

Individual GPS positions are deleted automatically 30 days after the load is delivered, completed or cancelled. Positions recorded for a truck with no load are deleted 30 days after they were captured. The load keeps a summary of the trip as part of its record: the stops with their times and the route line shown on its map. If you want that removed too, contact us (below) and we'll handle it manually.

Text messages (SMS)

LoadSignal texts truck drivers about a load they are hauling: a link to share location for the load, a link to the driver app, check-in questions from dispatch, reminders to send a signed proof of delivery, and replies to texts the driver sends. The brokerage or carrier dispatching the load enters the driver's mobile number, which the driver gave them so they could be reached about that load. Texts are sent and received through Twilio.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties, except the service provider that delivers the messages (Twilio). We use a driver's number only to send and receive texts about their loads.

Reply STOP to any text to stop receiving them, and START to receive them again. Reply HELP for help. Message frequency varies with the load, and message and data rates may apply. The full SMS terms are in our Terms of Service.

AI processing

Features branded “Pilot AI” are used for language, not for decisions. They draft messages and read a driver's free-text reply. They never decide an ETA, a tracking status, or whether a load is at risk; those are computed by deterministic code that the AI layer has no access to.

To do that, we send our AI provider (Anthropic) only what a specific request needs: typically load details, tracking status, and the names involved, plus a phone number or email when a dispatcher asks something that requires one. A driver's free text, such as a delay explanation, is sent when it's being used to draft a customer update. We never send a bulk export of your data.

Anthropic processes it to generate the response and does not use it to train their models. Nothing the AI produces reaches anyone automatically: a drafted message is saved as pending and goes out only after a dispatcher reads it and approves it, which we record against their name.

Who we share it with

We don't sell personal information, and we don't use it for advertising. We share it with the service providers that operate LoadSignal, each only for the purpose described:

• Vercel: hosting and infrastructure.
• Neon: our database provider.
• Clerk: authentication and sign-in.
• Anthropic: AI features (see above).
• Twilio: sending and receiving SMS.
• Resend: sending and receiving email.
• Samsara / Motive: only if your organization connects an account, for GPS and hours-of-service data, or if a carrier connects its Samsara account to share truck locations with a brokerage (see above).
• MapTiler / OpenRouteService: map display and route/ETA calculation.

We may also share information if required by law, or in connection with a merger, acquisition, or sale of assets, in which case we'd expect any successor to be bound by this policy for previously collected data.

Retention and deletion

We keep account and load data for as long as your organization's account is active, plus a reasonable period after for legitimate business or legal purposes. Rate confirmation PDFs uploaded but never confirmed into a load are deleted automatically after 72 hours. GPS positions follow the schedule under “Driver and truck location” above. Samsara or Motive access tokens are deleted once the connection is removed and nothing else uses it. We don't yet have a self-service “delete my account” or data export feature. To request either, contact us and we'll process it manually within a reasonable time.

Your rights

Depending on where you're located, you may have rights to access, correct, or request deletion of your personal information. We honor those requests on a manual, contact-us basis today rather than through an automated self-service flow. If you're a driver, carrier contact, or customer contact whose information was entered by a brokerage using LoadSignal, you can reach out to us directly, or to the brokerage you work with. A carrier that shared its Samsara account can stop sharing at any time from the invitation page it approved on.

See our Cookie Policy. In short, we use only the essential cookies our sign-in provider sets to keep you logged in; no advertising or analytics cookies.

Children

LoadSignal is a business tool for freight brokerage operations and isn't directed at children. We don't knowingly collect information from anyone under 18.

Changes to this policy

We'll update the date at the top of this page when this policy changes, and notify organization administrators of material changes.
